Using the filters in Infor CRM is a valuable tool for quickly sorting data. Did you know they are directly correlated to the group you are viewing? Filters are based off of what is in your layout…but note not ALL fields are able to become a filter. There is a way to create custom filters that is more of an advanced option that Simplesoft is happy to help with.

Let’s take a look at how easy it is to adjust in a few clicks!

You can edit your layout and filters within groups in each CRM entity. The ability to edit captions in the layout section of group editor is a great tool if you have customer fields you wish to rename.

Sales leadership wants the facts, the data, and the sales from CRM. They expect to be able to easily graph, dissect, and analyze what’s going on in the different territories. The good news is Infor CRM makes this very easy with groups and dashboards. BUT… have you as a sales leader set clear and defined expectations in CRM? Does your team know what actions and data they are accountable for entering and up-keeping in CRM?

We have a saying at Simplesoft… garbage in is garbage out. You can’t expect the CRM to give you what you want if the data isn’t there. So…What should you do?

Start by creating a sales process that is fully integrated with CRM.

– Have your sales team working their leads in CRM

– Create Opportunities to track quotes and potential sales

– Assign probability to close and estimated close date to create a forecasted outlook for the territory

Then, define your expectations of the sales team:

– How long do you want them working a Lead before it’s considered “dead”? What will you do with those dead Leads?

– How many calls/meetings do you expect them to set in a week? Have them create and track in CRM for your review.

– What data do you want them collecting for CRM? Emails, cell numbers, Dealer set up, etc.

Show your team why it’s a valuable tool. When you explain the value CRM can bring, it helps with user adoption. Do you know if they are using all the tools? CRM mobile, Xbar, Contour distance mapping for sales routes? You as a leader should stay engaged and up-to-date on all the features of CRM that help sales teams.

Get Connected!

Infor offers an out of the box Integration called ION. ION connects your CRM to other platforms to create a seamless view of data. The most important to connect is your Infor ERP system. Giving the sales team the complete view of a customer is critical to providing the best service. When connected with ERP you can view; invoices, aging payments, sales orders, parts inventory and more. Arming your sales team with all the tools to succeed is so important.

Lastly, you should be using Dashboards to run the sales meetings. This puts the CRM data front and center every week and shows your team that you are engaged in Infor CRM. Using the CRM to run your sales meeting also shows that even Leadership is on board with the tool.

There are some exciting new features that Infor rolled out in this latest release. We are happy to see the many Activity updates. You can now make groups in Activities and assign several Opps, Contacts, Accounts and Tickets to an Activity. They also made workflows and alerts that can be triggered for CRM actions. Plus a great UI uplift with new colors and icons!

Here’s what you can expect in the latest version of Web Client!

Ability to associate multiple records to an activity, including: contacts, accounts, opportunities, tickets, and leads and now sales orders, quotes, campaigns, returns,and defects.

Ability to associate multiple records with a note, including: contacts, accounts, opportunities, tickets, and leads and now sales orders, quotes, campaigns, returns, and defects.

Fanning out recurring activity occurrences. Activities list view supports groups and standard list view features.

New CRM Workflows provide configurable automated email notifications based on updated CRM content.
REST API Swagger docs for SDATA.
Icons upgraded to the Uplift icon set.
Discontinuing the support of subqueries, by providing new out-of-the-box query parameters to replace subqueries and the ability for customers to create and manage their own custom query parameters.
Out-of-the-box date parameters allow for queries based on dynamic timeframes.

Application Architect updates:
New properties for allowing entities and parent entities to be associated with activities and notes
New property for allowing entities, relationships, or properties to be included in the CRM Workflow content Enabled entities define the set of entities enabled for CRM Workflows.
Enabled relationships and properties define the set of CRM entity properties and related entity properties automatically populated into the CRM Workflow Properties tab.

Another great use for InboxGuru landing pages are creating Surveys. Gain customer feedback, product suggestions, reviews, and more. The Survey Report in InboxGuru landing pages is a feature that allows you to compare the data of your landing pages using your choice of several different graph types. Any landing page that has captured data from form completions will have data available on the survey report. You, as the user, also have the choice of which type of graph you would like to display data for each question on your form. This feature can be used with both Page Designer and HTML (My Website) type landing pages.

When editing or creating a question on the form, you have a drop down of options. You can choose to graph that question or Do Not Display. For instance, you don’t need to graph names or emails.

When you navigate back on the Flow Designer page, click Actions and select Survey Report. You will be taken to your Survey page that will now contain graphs on all questions that you edited to display on this page.

 

 

 

 

 

 

You will then generate the graphs for each question you selected to report on. You can export to a PDF to share from this page as well.

Don’t let your data go down a black hole. Keeping data clean and useful in CRM’s is usually a tough task for companies. You have multiple departments and users accessing and using the data. Simplesoft Solutions assigning someone at your company to be a Data Steward.

Who are data stewards?
Typical data stewards could include employees who are experts for one of the following;  Subject Area, Organizational, Business process, Application level, and Project level. Additionally, they can be categorized into two types; technical or business data stewards. The larger the company the more the roles will be defined and segmented. Also, a formal governance should be established; such as a CIO (Chief Information Officer), CDO (Chief Data Officer) and a governing body that establishes policies and procedures. Sometimes this is as simple as working with your IT department to set the hierarchy.

Why do you need data stewards?
I would like to focus on the qualities and skills essential for the Infor CRM data steward combination role needed for most mid-enterprise companies. The role of the data steward is a critical one of watching over and caring for a valuable resource for your firm. Yes, it’s data. It is not a resource that is scarce because it seems that “data” is everywhere. It is a role that is greatly overlooked in most companies as the data is there, right? But there is great potential in managing this data well and how it flows between departments, information systems, organizations, and customers. Accurate data allows accurate reporting to measure company progress, market saturation, user interactions and to help a company succeed. In smaller to mid-sized companies the data steward(s) is more of a role than a formal title. How should you decide who should own that role and what are they responsible for anyway?
The organizational “thinking” must be ready to be a data-driven culture. There are areas of interest that companies should consider like products and services being offered, the business model and structures that support them, and the business models that need to change and shift with the markets that are being supported to produce new goods and services. In the smaller sense, a good goal is just looking for the consistency and the accuracy to allow timely sharing of data in the form of reports, dashboards, and BI (Business Intelligence) for taking action on the executive level as well as the front lines.

What qualities should a data steward have?
In terms of data stewardship, the roles can be divided or blended. If the roles are divided then the technical is more of the custodian/corrector of the data and the business role is more the coordinator/tracker of the data. The stewardship role leans more towards business, but having the ability to change the data and being technically savvy, is the best combination. For SME’s (Small and medium-sized enterprises), a combination role of both technical and business will increase the cohesiveness of the company and ensure success in data and process accuracy.
The knowledge and skills are mainly organizational first and protecting the integrity of data second. They must understand the business direction, processes, rules, and requirements for getting tasks done. They should be able to influence business directions and gain business area commitments. They must be able to coordinate and create relationships internally to communicate the business rules and definitions. Most importantly, they must then work to make sure the data delivers accuracy for the direction of the company and those system users, integrators, and system admins are trained on how to do that properly.
The data steward role is important to help manage and maintain an important asset to the company, data. The data steward must work together with business leaders, system users, and technical people to be aligned with the direction of the company. It is not an easy job and requires thought before placing people into this role that possess the right mix of skills and personality. You must keep your data clean to effectively utilize Infor CRM.

Last year Infor introduced the new Digital Assistant, a tool accessible from Infor Concierge, which is designed to allow you to search various Infor knowledge sources to help you quickly find answers to your questions. And, if it is not able to find an answer, Digital Assistant provides you with the ability to create a Support incident.

Infor has been working to enhance this tool based on feedback from you, the customers. Some of the new features they have added are:
• Additional sources searched. You can now search Knowledge Base, Documentation, Incidents, and Communities
• Translation support. Enter your request in your native language and we can translate for search to return results
• Search tips. Suggestions provided to help guide search
• Incident add. Now opens incident form, so information can be entered in one step—with the default addition of all the applicable information you have already provided while conducting your search
• Long list handling. Search results are returned in a more consumable format with the ability to expand
• Digital Assistant placement. Made more prominent on Infor Concierge for easier access

Infor recommends you use Digital Assistant as the primary search tool to find answers. It’s designed to be simple, intuitive, and quick. Just click on the “Launch Digital Assistant” link from the dashboard of Concierge and follow the prompts.

Infor CloudSuite CRM web client provides a speed search option, the most important thing to know about this feature; it’s the only way to search across entities.

The SpeedSearch feature gives you quick access to find Histories, Contacts, Accounts, Leads, Opportunities, Attachments and more that you search for based on a keyword. If your results are too broad you can use the Advanced feature to narrow down results. 

Important note: We don’t recommend setting maximum results to “All”, this can really bog down the CRM server. It is defaulted to 25 records and that usually finds what you need.

Today’s companies have multiple platforms running their business functions, why not have them communicate? Creating seamless workflows and alerts between systems helps a company stay connected. BPA platform brings a new level of connection with APIs designed for Infor CloudSuite CRM! Especially it’s latest version release that is packed full of not only new features but easy to use and build connections.

What is BPA Platform? It is Windows-based software, utilizing a true three-tier client server model over TCP/IP, with a multi-threaded server running as a Windows Service. It can run in 32-bit and 64-bit environments, and can communicate with both 32- and 64-bit external
systems. The Client provides all administrative and Task design capabilities, while the Server provides the client connectivity and manages the processing of Tasks.

New Version Updates include:

New Interface – BPA Platform 2020 has a new scale-able interface, including zoom functionality to aid in navigation of larger tasks, as well as added functionality to facilitate easier, faster creation and organisation of business processes. It is now possible to select multiple tasks to
enable or disable them, as well as copy and paste, align or distribute steps.

New Installation Console – Links are provided for each individual component to the relevant BPA Platform help topic for guidance. Once a single component has been installed, the Installation Console can be re-launched from the BPA Platform 2020 Windows Start menu group.

New HTML Pro Tool – The HTML Pro Tool enables users to import and then edit email templates and dashboards via a raw HTML design and layout area. Tables can be created automatically via drag and drop technology, and multiple record sets can be used within one HTML Pro Tool instance. The HTML Pro Tool now supports up to HTML 5 and CSS 3 styling, where clients support it, and has improved handling of Unicode and relative resources for images handled locally within the task step, removing any problems with linked files.

New Retrieve Text Message Tool – The Retrieve Text Message Tool provides the ability to receive inbound SMS communications, that can then be consumed within a BPA Platform task. Such messages can be in the form of inbound text messages, or delivery receipts for
text messages sent by the Retrieve Text Message tool. Text mess age retrieval is extremely useful for grabbing these inbound communications and then automatically pushing them into a CRM, ERP or marketing system for analysis.

Using CRM is an integral part of your day-to-day business especially if your CRM is connected with your ERP. While you still may struggle with some users to adopt the process, we find Top Sales Performers want to be armed with tools that works and a process that’s efficient.

Today, the “role” of sales is changing. Customers are shifting how they buy, limiting on-site sales meetings and changing what they expect from the sales organization. This can then be integrated into all areas of the business, CRM being one of the most important. Having tools, like CRM, also helps the sales team and sales leadership stay accountable and focused on customer and prospect efforts.

Top sales performers expect accountability and the best tools for the job. They need to have tools that align with a clear, well-defined sales process and provide ease of use, access to company data, and multiple points of access.  When you utilize a CRM to advance leads through to opportunities and then to quotes and orders, it’s a smooth efficient process. Sales teams also appreciate the syncing of data from multiple sources, such as ERP. When you arm your sales team with right customer data, and tracking modules…  it leads to sales being closed faster at a higher value.
