SalesLogix LAN Quick Lookups Tips

There are so many ways to lookup information in Sage SalesLogix and I just want to point out a few of my favorite quick ways to find things while I am working.

1.  I use the % wildcard to look things up quite often.  This is very helpful when you don’t remember the exact spelling or you don’t remember the complete name of the company but you know one word.  For example, if I lookup under Account using %green, I am going to get:

2.  Another lookup that I use frequently is looking some one (Contact) up by first name.  I use the Lookup>Contacts>First.

3.  On any of the main screens, if the field caption raises up when you put your cursor on it, it is a lookup.  For example, the Main (phone) caption will allow you to look up someone by phone number.

These are examples of one value simple Lookups. SalesLogix also has advanced Lookups (multiple value lookups) and a full query builder for creating more complex queries.  I hope you learned at least one new quick tip to find Accounts and Contacts in SalesLogix.

How to Move Contacts in Sage SalesLogix

Sage SalesLogix v7.2 and higher has provided expanded flexibility in moving a Contact from one Account to another.  This is useful if companies merge, a contact’s account name changes, or if a contact simply joins another company and you want to maintain a business relationship.  Train your users how to use this feature and minimize duplicate Contact records in your database.  Moving Contacts in Sage SalesLogix

1. From the Contact detail or List View of the Contact you want to move select Edit > Move Contact to

2.  Select an Account using the To Lookup edit control value (respresents where the Contact needs moved)

3.  Click on the Move Options button to display the following options:

Option Descriptions

Copy Contact and Associate new Contact with original
Copies the Contact to a new account, leaving the original contact intact.

Move the Contact to the new Account
The contact is moved to the new account.

Use Address(es) and Phone(s) of new Account
Assigns the default phone numbers associated with the Account to the new Contact.

Keep original Address(es) and Phone(s)
Moves the Contact’s existing address(es) and phone number(s) to the new account.

Copy History related to Contact to new Account
Copies the history associated with the Contact and attaches it only to the Contact, not to the new account. (See Note above)

Copy Activities related to Contact to new Account
Copies all uncompleted activities associated with the Contact to the new Account.

Reassign open items to:
Specifies the Contact who will be responsible for open issues (Activities, Opportunities, and so on) previously assigned to the moved Contact.

When moving, reassign completed items to:
Specifies the Contact who will
be associated with completed items (Activities, Opportunities, and so on) previously assigned to the moved Contact.

Click OK


*** Each Contact move may require different choices based on the unique Account relationship.

Never underestimate the features of your SalesLogix Calendar!

Appalachian Log Structures Chooses Sage SalesLogix Cloud

A small decision can save you a million headaches in life and SalesLogix!

You know how in life you run into those small things where you wished you had slowed down to make a better decision… Like where to place the butter tub in the refrigerator, so it doesn’t fall out and bust all over the kitchen floor.  I can only hope this is resonating with some of you and you aren’t all the type who very strategically place your grocery items in their assigned quadrants in the fridge.  I work with some of you quadrant folks, but many of you will understand my perspective.

I know from experience there are plenty of you who have painstakingly planned, with your user departments, the best “pick lists” possible for all areas of SalesLogix.  Now, you wonder “how did that data get in there?” You forgot one very important step; way back in the beginning.  You forgot to lock down the pick list so the users could not add their own values. Maybe you didn’t know it was possible, maybe you thought by giving them so many choices they wouldn’t add their own, or maybe you thought it would be nice to provide your users that flexibility.  Whatever the reason … I bet most of you are second guessing your decision now.  I was working with a client in the Cincinnati, OH area last week, training them on building query groups in SalesLogix, and they were shocked at some of the values in their data.

We are talking about two tiny little checkboxes.  These two checkboxes will save you hours of frustration.  See below!   You need both ‘Text must match a list item” and “Users can not edit items” to fully lock down pick lists. The Picklist Manager can be found in the Administrative Client under Manage>Pick Lists:

Note:  The default setting for pick lists does allow users to Add items of their own (unchecked).

OK, so now you know to go back and lock down the pick lists,  but what about all that data you don’t want in your pick lists?  I have a good answer for you and another area of SalesLogix to explore in this article.  There is a SalesLogix maintenance tool called “Replace Data” that can help get your data back under control.  This menu is available through the Sales Client, as an administrative user, from the Tools>Manage>Replace Data menu option.

Use the Replace Data Wizard to replace one or more values with another value in the ACCOUNT, CONTACT, or OPPORTUNITY tables. You can only replace data in accounts, contacts, and opportunities to which you have access rights. The Replace Data Wizard works with the current account, contact, or opportunity group.

The first screen of the replace data wizard prompts you to choose which type of records to update (Account, Contact or Opportunity).

The next decision is the type of data replacement to perform on the current group

The last screen prompts for a target field and value. If you have chosen a replacement type that requires more input values (search and replace, for example) this is where you will be prompted for those as well.

Simplesoft meets Dayton Business Spotlight and says “Thanks”

We recently had the opportunity to meet Phil Herzing and the folks at Dayton Business Spotlight  in our office at Simplesoft Solutions.  They chose Simplesoft Solutions as the latest business they wanted to interview and highlight in their Spotlight series and we would like to tell others what a great service they are providing the Dayton business community. They spend their time and resources visiting businesses in the greater Dayton area to learn more about why those businesses have chosen Dayton as their home. They know that Dayton has a long history of innovation and promotes an entrepreneurial culture and, as a result, are doing their part to communicate their belief in the strength of the area and its strong heritage and future.

4 Key Essentials to Train and Reinforce in Sage SalesLogix

As a Sage Certified Trainer, I have worked with many companies to train end users.  I have learned some important patterns to be taught and reinforced for continued success of CRM within an organization.   When I do pre-planned follow-up refresher training with companies, I can tell how well the following items have been incorporated as best practices for Sage SalesLogix while working with the users.

1.  How to enter new (unique) Accounts/Contacts following your company’s business rules. Notice I said unique not duplicates!

2.  How to record Sales activities, either scheduled or unscheduled, as History in Sage SalesLogix. By the way, I didn’t say enter “notes” in Sage SalesLogix.  A small but high impact decision I see users make is using the “add note” feature instead of recording the activity properly as a phone call or meeting. These notes do not show up as completed sales activities when running activity reports out of SalesLogix.  It is the small things that matter over time!

3.  How to record e-mails to History in Sage SalesLogix. This is extremely powerful integration yet an under utilized feature of Sage SalesLogix for newbies. I think a misconception may exist with untrained  users that they somehow lose an e-mail item from their Outlook sent items. This is simply not true. I also see an over dependence on Outlook; somehow people believe it is a CRM. Users must learn to trust Sage SalesLogix to record these e-mails and then how to quickly filter and search for something in the Notes/History area.

4.  How to keep data clean and update records to match your business processes. What happens when an Account goes out of business or a Contact leaves an Account? Do your users know what you expect them to do with the record to reflect those changes? Communicate often with your users and develop groups for them to meet goals and expectations,  like those Contacts with no e-mails, etc.

Call us to discuss Sage SalesLogix training and ways to reinforce best practices in the use of Sage SalesLogix.  Just like in sports, it is important to understand the fundamentals and drill them often to form automatic habits.

Leads in SLX 7.5.2 Web is Full of Improvements

We have been working with the Sage SalesLogix 7.5.2 Web Client a lot lately and I am extremely impressed with the added features for Leads.  Take a look at some of them below.  If you have been holding off on upgrading this is the time!

Schedule and Complete Activities Against Leads:

Being able to schedule and complete activities against Leads is a long awaited improvement.  Sage provided the place holder (Notes/History) tab in earlier versions giving us the sense that it was coming,  but left us longing for the functionality.  Now, finally, we can schedule and complete phone calls, meetings, and to-do’s against Leads, just like Contacts, improving the ability to stay on top of Leads.

Advanced Import Wizard:

Another major improvement to Leads is the advanced import wizard which includes de-duping against both Leads already in the database and Contacts.   The wizard is a step by step process and provides a duplicates review and report prior to completing the import (see Step 4 below).

Import Actions:

Import Actions is the next feature improvement and has so many potential uses.  Different actions can be scheduled against an entire import list (see Step 5 below).  These actions include the following types:

Note: Create a note that will appear in the History/Notes tab of the lead.

Response: Create a response and record the interests of the lead or contact (if merged with a duplicate). You may optionally associate the response to a marketing campaign. If the response is associated to a campaign, the lead or contact (if merged) will be added to the marketing campaign as a target.

Campaign Target: Add a lead or contact to a marketing campaign as a target, without creating a response.

Phone Call, Meeting, To-do: Create/Schedule any of these activity types for the lead or contact (if merged).
