Strengthen Customer Relationships …. Do NOT Make them Wrong!

I recently had a personal experience that ignited my desire to stress a point I teach in my Professional Customer Service course. . . . Don’t Make the Customer Wrong! Most of you know our primary business is Sage SalesLogix CRM, and maybe some of you know I teach soft skills courses related to CRM,  but maybe less of you know that, as a consumer, I expect to be treated professionally like I teach. Well, I am constantly surprised.

There is a factor at work here that I should mention. The more personal or emotionally engaging the situation, the higher the expectations and therefore the easier to disappoint or delight the consumer. For example, when you hear a bad customer service experience, which by the way we tell about 12 people, they are sometimes related to vacations, medical experiences, business travel, etc. These situations are highly emotional for us and provide more stories to tell than other situations. However, I believe that many of you provide business critical products and services, so your customer exchanges can turn into  emotionally charged situations quickly. Anyway, back to my story. . .

I was taking a family member for day surgery and we were greeted by two highly processed, focused individuals with no personal connection aptitude at the check-in desk. We were handed family instructions to help us understand what the family should expect and what process the family should follow to see their loved ones. Well, I am all for processes–that is what SalesLogix helps our customers automate–but not at the expense of making the customer feel like they are not important.

So my family member is called out and we are sitting there expecting him to return to us and tell us what is next, and a woman across the waiting room says, “He won’t come back; you better go see to which room they took him.” We go back to the highly efficient desk associate and she asks me when he was called, and I said about 10 minutes ago. She said, “Did you read your family sheet?” I said yes and then she said, “What is his name?” I gave them his name and said we thought he would come back before they took him away, and then she said, “I thought you said you read your family instructions. Did you really read them? If you had read them you would know. . .” Wow! She had to make the point or prove to me I had not read my instructions. Which I did, by the way, read the sheet, but when you are scared it could be the last time you see someone special, everything you read an hour ago doesn’t register. I was so upset I thought my head was going to blow off, but instead I said, “I don’t care about your instructions; where is my family member?”

Maybe it is important for your clients to learn certain policies or procedures that will help you help them. My suggestion is to point these out very gently and use phrases like, “I know this can be confusing,” or, “sometimes the steps can seem overwhelming, but we are here to help.” Kindly direct them back to the information and help them locate the information they are looking for, or even better,  just kindly answer their questions. The only reasons to refer folks to someone else or to point out instructions, etc.,  is for their best interest.

Using the History Tab while doing SalesLogix Mail Merges

I received this SalesLogix question the other day and I thought I would share my answer in case it helps someone else.

“We have a list of ~400 contacts for which we are creating a physical mailer.   We will be exporting the group/list out for printing of labels.  The question I have is the following.   Is there a way to add a note/history entry to the contacts in this group in some method other than manually entering one?”

Yes, you can add mass notes/history to a group of records by running a mail merge and using the History tab.  In the case where an actual mail merge is not needed,   I have defined the output of the mail merge to be a file and then deleted the file in order to record a history note or schedule a follow up activity.

In the example shown below (click to enlarge), a history entry will be added to each Contact record to show an email invitation has been sent to each Contact.  In the Schedule Follow up section a timeless phone call will be scheduled for each Contact on 2/29.   The notes section of the Phone Call Activity will remind you to get a commitment for this training event.

Planning and Training the Business Usage of Sage SalesLogix

To prevent data inconsistencies in Sage SalesLogix we recommend you document the business rules around your usage of CRM.  We have created what we call a QCard (quick card) to record the practical application of Sage SalesLogix to your business processes.  For example, take the Account screen and teach your users how to make changes to pick lists as your relationship with this Account evolves.  Don’t you hate it when you receive mail or email from a company you have been doing business with for several years and they treat you like you are a brand new prospect.  Those kind of mistakes can be eliminated if you will tie the usage of Sage SalesLogix to your business processes.

SalesLogix Spring Cleaning – End User Tasks

Spring is a great time to involve all your users in help cleaning up Sage SalesLogix.  Let’s consider some basic cleaning tasks by major entity:

Accounts – Some key fields at the Account entity are Type, Subtype, Industry, and Status.  Clean up your pick lists for each, lock down the pick lists for each,  and create some administrative groups to push out to your users where these fields are blank.  Be very specific about what fields are to be completed, the name of the Account Group, and give them a target date for completion.  Along with the key fields above, you should also encourage general address, phone number, and web address information be completed and updated.  Create some positive press on the project by sending out emails with updates on who has completed the tasks and/or what % of the tasks has been completed.  Ex.  75% of our Accounts are complete!

Contacts – The key fields for Contacts are Status and email.  Again, create the groups with missing information and set a timeline for completion. 

Opportunities – The key fields for updating Opportunities are Status, Close Date, Probability, and Opportunity Value (which is done by making sure the products and pricing are current).  If you are serious about using SalesLogix for forecasting these fields must be kept up to date and your users should be conditioned to update these fields on a regular basis.

Activities – Encourage users to update their scheduled Activities that are way out of date range.  You could create groups for Activities 90 days old, 6 months old, and 12 months old then suggest they reconnect with these Prospects, etc.

Don Menrisky Receives Appointment to Sage Business Partner Advisory Council

Don Menrisky, President and Managing Partner of Simplesoft Solutions, Inc., received an appointment to Sage’s Business Partner Advisory Council on a two year assignment.  This is a huge honor for Don and the whole Simplesoft team!  BPAC is a Sage CRM Business Solutions Division wide council and consists of the top business partners in each of Sage’s software lines.  The purpose of the BPAC is to set direction and gain feedback from key business partners into the needs and requirements of Sage’s customers along with the programs needed for the business partner channel.

We are a Sage SalesLogix business partner and we have consultants who have worked with the CRM solution since the beta versions of the software.  We have achieved President’s Circle for 3 of the last 4 years.  Don is honored to have been nominated by his peers and chosen to serve on the council.  “It is the best feeling to have your work appreciated by Sage and to know that keeping your focus on the customer has paid off in company growth and this outside recognition.”

SalesLogix LAN Quick Lookups Tips

There are so many ways to lookup information in Sage SalesLogix and I just want to point out a few of my favorite quick ways to find things while I am working.

1.  I use the % wildcard to look things up quite often.  This is very helpful when you don’t remember the exact spelling or you don’t remember the complete name of the company but you know one word.  For example, if I lookup under Account using %green, I am going to get:

2.  Another lookup that I use frequently is looking some one (Contact) up by first name.  I use the Lookup>Contacts>First.

3.  On any of the main screens, if the field caption raises up when you put your cursor on it, it is a lookup.  For example, the Main (phone) caption will allow you to look up someone by phone number.

These are examples of one value simple Lookups. SalesLogix also has advanced Lookups (multiple value lookups) and a full query builder for creating more complex queries.  I hope you learned at least one new quick tip to find Accounts and Contacts in SalesLogix.
